AI-First Workflows

Redesign how work, decisions, handoffs, roles and controls operate when AI can contribute within defined boundaries.

CONNECT THIS TOPIC TO AI TRANSFORMATION

Design AI-enabled workflows around the outcome and the work required. Connect human judgment, bounded AI participation, system actions and operational learning.

Why it matters

Inserting AI into an existing process can preserve its friction or move hidden work onto people. Workflow design asks what should change in the complete operating system.

Reframe the design question

Examine how sensing, analysis, assistance, recommendation, routing, coordination and bounded action could change the flow. A workflow combines decisions, handoffs, controls, data signals, exceptions and learning; it is more than a task sequence.

Design human participation and rhythms

Make explicit which work remains with people, where AI contributes and how judgment, approval, supervision, handback and recovery enter. Review existing rituals to decide what stays, becomes AI-assisted, changes substantially or should operate without AI.

Design for control and recoverability

Define authority at material action seams and keep context, attribution, intervention and recovery operational. Efficiency gains do not justify weaker control.

  • Specify permitted actions, exclusions and stopping conditions.
  • Test missing context, tool failures, unavailable reviewers and changed conditions.
  • Observe downstream rework and human effort alongside speed and cost.

Evidence to make visible

  • A redesigned workflow with roles and controls
  • A human-control and handoff model
  • Tested exception and recovery paths
